The Board of Directors is issuing this Community Briefing to update you on critical items affecting our community, including new security measures, financial operations, and upcoming elections.

We are keenly aware of ongoing security concerns and incidents like loitering and package theft. While the HOA is not a security force, we are taking decisive action to enhance safety.
New Security Measure Authorized: Community Camera System
The Board has formally authorized the implementation of a new community-wide camera surveillance system for common areas to deter crime and aid law enforcement. We will provide detailed follow-up information regarding the timeline and placement once final contracts are secured.
HOA Partnership with Phoenix Police: Authority to Arrest (ATA) Program
Our HOA has an Authority to Arrest (ATA) Certificate on file with the City of Phoenix, which allows police to arrest trespassers on our common property without a Board member present.
How to Report Trespassing Effectively:
Do Not Engage: For your own safety, please do not confront the individual.
Call the Non-Emergency Police Line: Call (602) 262-6151. (Only call 911 for an active emergency.)
Provide the Critical Information: For the police to activate the ATA certificate, you must state:
"I am reporting Criminal Trespass on private property."
"The property has an Authority to Arrest (ATA) Certificate on file."
"The address associated with the certificate is 1850 W Frier Dr."
Improper waste disposal is incurring overflow fees and affecting our property's appearance and health.
1. Managing Container Capacity and Cost Avoidance
We are receiving irregular overflow fees because containers are being improperly filled. To avoid a permanent $250+ per month increase for a third weekly pickup, please cooperate:
We have two dumpsters (North Central and South Central Parking Lots). If one is full, use the other.
Do not overfill or leave items outside the containers.
2. Maintaining the Shared Alleyway
Trash buildup in the shared alley comes from our residents, neighboring homeowners, and unauthorized individuals.
Our Responsibility: All trash must be sealed and placed inside the Bristol Court dumpsters. No items are to be left in the alley.
Bulk Disposal: For large items (furniture, etc.), residents must arrange disposal. Please contact [Insert Waste Management Company] to schedule a pickup.
Enforcement: A zero-tolerance policy with escalating fines for documented trash and bulk disposal violations will begin on November 1, 2025.
Assessment Amount:
The monthly assessment fee is $360.00.
Future Payment Policy Consideration: The Board is considering a policy to transition all assessment payments to an online portal to improve security and efficiency. You will be notified with specific instructions well in advance of any mandatory change.

Important Note for Check Payments: Checks can be mailed to: Bristol Court HOA - PO Box 35576 - Phoenix, AZ 85069-5576. Please note that checks are only deposited two to three times per month and may not be cashed right away. Please plan your mailing accordingly.
Action Required:
Dues are due on the 1st of the month.
Late Fees: A 10% penalty is assessed on the 15th of each month on any outstanding balance.

Election Timeline and Action (2025):
Election letters will be mailed out this week.
To be counted, all ballots and nominations must be received on or prior to the November Board Meeting.
Annual Meeting & Election: The Board Meeting where results will be counted is currently scheduled for November 17, 2025.
